    Kolkata has hundreds of listings for event management, and most of them are brokers who forward your brief to the same handful of décor and sound vendors. The difference between a broker and a production house shows up on show day — and in how the quote was written weeks earlier.

    1. Ask who is physically at the venue on show day

    The most useful question you can ask an event management company in Kolkata is simply: name the person who will be standing at the venue at 6am on build day, and tell me what else they are running that week.

    If the answer is vague, you are speaking to a broker. A production house will name a senior producer and put that name in the contract.

    2. Insist on a line-item budget in rupees

    A single 'all-inclusive package' figure hides mark-ups you can never audit. A proper quote separates décor, florals, lighting, audio, LED, catering, entertainment, photography, hospitality, permits and production management.

    Ask whether vendor invoices are billed at face value with a stated management fee, or marked up silently. Both models are legitimate — only one is transparent.

    3. Check depth in your specific vertical

    A team that produces excellent weddings may have never filed a fire clearance for a 1,500-delegate conference, and a corporate specialist may not know the ritual sequence of a Bengali wedding.

    Ask for three references from events of the same type, scale and season as yours — not their best work overall.

    4. Test them on permits and compliance

    Kolkata events routinely need police permissions, noise-hour compliance, fire clearances and, for public events, medical standby. Ask when in the timeline those applications are filed. 'We'll handle it' is not an answer; 'four weeks before, with copies sent to you' is.

    5. Understand real budget bands before you negotiate

    In Kolkata, corporate events typically start from around ₹3 lakh for a compact launch or town hall and scale steeply with delegate count and technical build. Full-scale weddings commonly run ₹15 lakh to ₹2 crore and above across all functions.

    A quote far below the band usually means scope has been quietly removed — check the vendor list, not the total.

    6. Look for a rehearsal in the plan

    Conferences and award nights that run cleanly were rehearsed cue-to-cue with the actual speakers. If the timeline has no rehearsal slot, expect the first run-through to be in front of your guests.
